Step 1: Install QuickBooks Desktop

  2. Go to File and select Close Company. Keep QuickBooks Desktop open while you complete the following steps.

Step 2: Open QuickBooks Online and download the Migration Tool

  1. To log into the QuickBooks Online account you want to convert, use one of the supported browsers. Enter the login details for your Intuit account.
  2. Select the URL and type exportqbodatatoqbdt in place of the characters following /app/.
  3. The URL should be https://app.qbo.intuit.com/app/exportqbodatatoqbdt. Then press the Enter key. Links to other help tasks won’t work during this process.
  4. It will display the Export Overview. Examine it. You are welcome to print it out. Select “Get Started.”
  5. Click the Download application to start downloading the QuickBooks Desktop migration tool.
  6. The utility may be downloaded here. Run it and select Next to install it.
  7. Once you have agreed to the license agreement terms, click Next.
  8. Click Next once you’ve selected Complete as the setup type.
  9. In the end, select Install and then Finish.

Step 3: Export the file and choose the QBOnline data

  1. Return to QuickBooks Online. You should continue with Step 1: Prepare for the export window. Click “Continue.”
  2. Select the data you wish to export. You can send the entire transaction history or the list and balances. Click “Continue.”
  3. After clicking Learn about the limitations of converting data for QuickBooks Desktop, click the Continue button to continue learning about the restrictions on data conversion for QuickBooks Desktop and how migration affects them.  
  4. After entering the recipient’s name and email address, click the “Continue” button to receive the migration confirmation email.
  5. To return to your QBO file, select the Close option. Wait for the email confirmation to arrive. Depending on how much data you move, it may take a while to arrive.
  6. You will need to go back to the export screen in QuickBooks Online. Use the steps from Step 2 above to get back to the export page, then select Get Started.
  7. When the Prepare to Export page opens, select Continue.
  8. On the Choose your data screen, make the same choice as before and click Proceed.
  9. On the Exporting from QuickBooks Online tab, you will receive a notification stating that you already have a file available for download. Click Continue to Download to start the download again.
  10. To download the QBXML file, click Download QBXML file. If QuickBooks prompts you to save the file, save it to an easy-to-reach location, like your desktop, and click Continue.
  11. Make sure QuickBooks Desktop is showing the No Company Open screen.
  12. You’ll have to go back to QuickBooks Online’s export screen. To reaccess the export page, go back to Step 2 and repeat the previous steps before choosing Get Started.
  13. Choose Continue while you’re on the Prepare to Export page. If you have an open company, go to File > Close company. To compare data, see your reports before and after the export.

Step 4: Start the Quickbooks Desktop Migration Program

  1. Ensure that the No Company Open screen is shown when you use QuickBooks Desktop.
  2. After downloading it in step 2, activate the QuickBooks Desktop migration utility application.
  3. After entering or browsing the location of the downloaded QBXML file, click Import.
  4. You can name and locate your newly created QuickBooks Desktop file.
  5. Look for the QuickBooks Application Certificate. If QuickBooks Desktop is operating in the background, other screens may hide it. Select the read/modify rights and whether you want to allow access to personal information. On the confirmation page, select the options- continue and finish.
  6. Once your data has been successfully imported, select Done

Note: Completing the task can take some time. Even if the export looks to be installed, that does not always mean it has failed. In a few minutes, the progress bar will move once more.

If the status bar remains motionless

Check QuickBooks Desktop once more for an Application Certificate.

  1. Click the desktop icon in the Windows Taskbar to launch QuickBooks. You will obtain the Application Certificate there.
  2. On the Application Certificate, select the Yes option for each request. Select Continue and Done from the confirmation page.

Step 5: Verify Whether Your Data Was Export Appropriately

After exporting your firm, use the Profit and Loss report to ensure that the results match your financial balance.  Run one on QuickBooks Desktop and compare it to the QuickBooks Online version of the same report.

Note: Run reports on an accrual basis to ensure they match when comparing.
